A good AI chatbot answers common questions instantly, day and night, and passes harder conversations to a real person. A bad one gives confident wrong answers, traps customers in loops and damages trust. The difference is almost never the AI model. It is the planning, the content the bot answers from and the handover to your team.
Decide what the chatbot is for
Pick a small number of jobs the bot should do well. Common ones are:
- Answering pre-sales questions about services, prices and delivery times.
- Booking appointments or consultations.
- Checking order, shipment or ticket status.
- Collecting a visitor's name, email and request when your team is offline.
- Answering internal staff questions from manuals and policies.
Everything else should go to a person. A chatbot with a clear purpose is easier to test and far more useful.
Answer only from approved knowledge
Modern chatbots use retrieval: they look up the answer in your own pages, FAQs and documents, then write a reply based on what they found. This keeps answers accurate and on-brand. When nothing relevant is found, the bot should say so and offer a human, not guess.
Design the conversation
- Greet briefly and say clearly that the visitor is talking to an automated assistant.
- Offer a few buttons for the most common questions, plus a free-text box.
- Keep answers short and link to the full page for detail.
- Always show an easy way to reach a person.
Hand over to a real person
When an admin is online, the chat should move to them with the full history so the customer does not repeat themselves. When nobody is available, the bot collects the visitor's name, email and question and creates a lead or ticket. The chatbot on our own website works exactly this way.
Connect it to your systems
The most useful chatbots are connected to the systems behind the website: a CRM for leads, a booking calendar, an order database or a help desk. Each connection uses limited permissions and is logged.
Privacy and accuracy
Tell visitors when they are chatting with automation, avoid asking for sensitive information the bot does not need, and decide how long chat logs are stored. Review a sample of conversations every week, fix wrong answers by improving the source content, and track the questions the bot could not answer.
Measuring success
- Share of questions answered without a person.
- Number of leads or bookings captured, especially out of hours.
- Handover rate and how quickly your team responds.
- Customer satisfaction ratings on chat answers.

Frequently asked questions
Will a chatbot replace my support team?
No. It handles repeated, simple questions so your team can focus on the conversations that need a person.
Can the chatbot speak several languages?
Yes. Modern models handle many languages, but answers should still come from content you have checked in each language.
What does a chatbot cost to run?
Running costs depend on how many conversations it handles. We estimate them during planning and add usage limits so there are no surprises.
